We've put together diagrams of some of the most popular to give you ideas and to help you communicate what you need to your meeting planner.Banquet Style Meeting RoomA banquet style meeting room is generally set up to accommodate 6-10 persons at a round table. The tables are grouped in a square or hexagonal design. If there will be a speaker for the meeting, you can set up 1/2 round tables to allow all those seated to be able to see the speaker without looking over their shoulder.The banquet style is most suited for breakout sessions where face to face direct interaction will take place or meals. Boardroom Meeting RoomAs the name describes, this is a good set up for a board meeting. The table design allows for good visual feedback along with ample room for documents and note taking. The set also allows for for less separation between participants which should faciliate more engagment.
Hollow Square Meeting RoomThe hollow square is used when you want interaction from attendees and there is no designated presenter or facilitator that will be standing up to lead the meeting. You can use this set up for 12-30 people and get good results. This set up allows for participants to receive good visual feedback during the interaction and also allows for enough space where attendees can take notes.
Classroom Style Meeting RoomIf you need to show a video or training tape or just have an informal presentation, then the classroom style meeting room set up would be appropriate. You can also use this for class instruction where the leader or facilitator will be in front of the audience for extended periods of time. Having tables in front of the participants allows them to take notes and work on assignments. Set up the room with 2-3 rows of tables with chairs that are spaced enough for the attendee to have room to sit comfortable and write or type.
U-Shaped Meeting RoomThe u-shaped meeting room set up is appropriate for small groups that require interaction between the participants and the facilitator or presenter. The 'u' shape allows for movement towards participants and helps to engage the group. The set up also provides for better interaction between the participants as well.
